Request form for Displays, Booklet Page, Table Talk, & Plenary Time

DISPLAYS
Please note the guidelines to the right. Those who request a display table for their organization register for the assembly as a voting member, a visitor, or an exhibitor. If electricity is needed for a display, an additional $130 fee will be charged.
MINISTRY MAGAZINE BOOKLET
One-page submissions will be accepted for our 2010 Assembly Ministry Magazine following the same criteria as display tables. Pages should be submitted as an 8.5 x 11 .pdf or .doc. They will be reproduced slightly smaller. We encourage graphically interesting pages (more like "ads") rather than "reports" that are pages of text.
TABLE TALK
The Friday lunch will be called "Table Talk" with organizations hosting table conversations. Again, the basic criteria for display table guidelines will remain in effect. Those who request to host a Table Talk for their organization must register for the assembly as a voting member, a visitor WITH MEALS, or an exhibitor WITH MEALS.
PLENARY TIME
Plenary time is always in high demand and short supply. You may request 3-5 minutes of plenary time, but not all requests can be granted.

Guidelines for Assembly Displays
These general guidelines also relate to pages included in our assembly ministry booklet.
In accordance with the model established by the Evangelical Lutheran Church in America (ELCA) for display space at assemblies, the Rocky Mountain Synod requires all requests for display space at its assemblies to meet the following criteria:
• Display space exists only for the purpose of informing and educating voting members and visitors to the assembly.
• Display space is provided to the agencies and institutions related to the synod; task forces, teams, committees, and affiliated ministries of the synod; units and ministries of the ELCA, and ecumenical ministries affiliated with and approved by the synod.
• No display space will be provided for organizations that have no official relationship to the ELCA.
• No commercial displays or sales booths are permitted. Any items that are sold must have prior approval from the Assembly Planning Committee.
• A display that does not relate to the mission and purpose of the synod or is considered offensive will be removed. The decision of the Assembly Planning Committee and the bishop will be final.
• The decision to grant permission for a display and the placement of tables is that of the Assembly Planning Committee.
• The contact person requesting the space is responsible for the set up and removal of the display.
• The Rocky Mountain Synod and the assembly host will not be responsible for loss, theft, or damage to display items. • All shipping costs related to a display are the responsibility of the display host.
• Tables will be six feet in length and will include a tablecloth and skirt. Displays may be set up beginning at 8:00 a.m. on the first day of the assembly (registration begins at 10 a.m.). All displays are to be removed by noon on the final day of the assembly. Nothing may be affixed to either the walls or ceiling.
• Registration as a voting member, a visitor, or an exhibitor is required for each organization requesting display space. These general guidelines also apply to organizations listed in our assembly ministry booklet.
